Meeting Space Agreement

Agreements:

Before we can accept your request, we ask that you carefully read each statement below.

Weapons:

The Daniels Fund strictly prohibits weapons of any type in its facility. This includes visible and concealed weapons, even those for which the owner has obtained the necessary permits. While this list is not all-inclusive, “weapons” includes firearms, knives, any explosive materials, and any other objects that could be used to harass, intimidate, or injure another individual. Organizations and individuals violating this policy will promptly be asked to leave the facility and may be subject to losing future privileges of utilizing the meeting space at the Daniels Fund. Individuals in law enforcement are exempt from this policy.

I understand that I am responsible for communicating this policy to my group and for ensuring that my group complies with the policy.

Threats, Controversies, and Other Security Concerns:

I understand that I am responsible for notifying the Daniels Fund of any threats, controversies, or other situations involving my organization, or individuals within my organization, that could cause security concerns during our meeting at the Daniels Fund.

Parking:

I understand that guest parking is provided and is located at 1st Avenue and Madison Street, immediately to the west of the Daniels Fund building. I am aware the Daniels Fund is located in a residential neighborhood, and that my guests should park in the guest lot, or on non-residential streets. If accessible parking is need by my guests, I will request access prior to my meeting.

Audio/Visual:

I understand meeting room projectors use standard VGA, HDMI, and/or HD port inputs, and that it is my responsibility to bring any adapters that may be required to connect my laptop or tablet to these inputs, and that other types of connections and interfaces are not supported. I will discuss any questions I have regarding connectivity or allowed use with the Daniels Fund in advance of my meeting.

Catering:

I understand that organizations planning a meal are required to use caterers from the Daniels Fund’s approved caterer list. I understand I may bring coffee, soft drinks, and snacks such as pastries, bagels, cookies, and fruit. I understand alcohol is not permitted at the Daniels Fund.

Room Set-Up and Clean-Up:

I understand that my organization is responsible for the set-up and clean-up of room(s) we use. Before departing, I will return the tables and chairs to the original layout, clean table tops if necessary, place bags of trash and recycling in the appropriate collection bins near the Daniels Fund catering kitchen, place a new liner (provided) in each trash or recycling bin, take away or dispose of any leftover catering food, and ensure the room is clean and free from damage.

Request Confirmation / Scheduling Confirmation:

Upon my submission of this form, I understand and am aware that within two business days after my reply is received, the Daniels Fund will send an email to me that confirms my request has been scheduled, or informs me if space is not available. I understand this scheduling confirmation email is the only indication that my request has been scheduled, and if I do not receive this email, I will contact the Daniels Fund at (303) 393-7220 or email [email protected].

Endorsements of Organizations:

I am aware that my organization’s use of the Daniels Fund Meeting Space does not constitute an endorsement by the Daniels Fund of my organization or its activities.

Meeting Space Guidelines:

I have reviewed the Meeting Space guidelines, and I understand it is my responsibility to ensure my guests are aware of, and comply with, all stated guidelines.

Internet Use Agreement:

By acknowledging the Daniels Fund Internet Use Agreement, I indicate my understanding and agreement that access and use of the internet as described herein is a privilege and not a right. When accessing the internet via the Daniels Fund network, I agree to strictly follow these policies and standards for responsible, ethical, and legal use:
  • Computer use and internet activity will be in a responsible manner consistent with, and limited to, educational, informational, and training purposes required to facilitate my meeting and to meet its objectives
  • Privacy and confidential information will be respected and maintained, and users will not misrepresent themselves by obscuring their identity, using a false identity, or using the identity of another person

Examples of unethical/prohibited use of the internet via the Daniels Fund network include, but are not limited to:

  • Using the internet for any unauthorized, unethical, or illegal purpose
  • Modifying or gaining access to files, passwords, or data belonging to others, or attempting the same
  • Sending, receiving, or displaying text, graphics, video, audio, or any other content/material which may reasonably be construed as obscene, offensive, or derogatory
  • Distributing, accessing, or exhibiting material harmful to minors
  • Copying, accessing, or distributing materials in violation of U.S. copyright law
  • User misrepresentation or attempted misrepresentation of IP address, location, identity, or authority

Guest computers/devices may not use the Daniels Fund network and/or internet access to violate any federal, state, or local law(s). No Meeting Space user is permitted to use a guest computer/device, or the Daniels Fund network and/or internet access to display, access, or distribute obscene material or pornography. Violators of the Daniels Fund Internet Use Agreement may be ordered to leave the Daniels Fund premises and/or face permanent revocation of Meeting Space usage privileges. The Daniels Fund assumes no liability for any Meeting Space guest’s use of the internet, network, or computers/devices. It is the responsibility of the meeting facilitator to determine which computer/device and internet activities are appropriate and necessary for their attendees, and to monitor attendee access and usage of the same.

Violations of the Daniels Fund Internet Use Agreement policies will be countered with immediate and appropriate action consistent with our explicit and unwavering standards for responsible, ethical, and legal use. Illegal activities or suspected illegal activities/acts involving the Daniels Fund network, and/or internet access are also subject to involvement/prosecution by local, state, or federal authorities.
