Position Description

Position Information 

Title:  Part-Time Grants Administration Assistant (Permanent)

Department:  Grants

Supervisor(s): Grants Administration Officer

Hours: Monday through Friday, 4 Hours Per Day

Rate of Pay: $20.00 Per Hour

Eligible For:  Paid Time Off, Holiday Pay, Wellness Benefit, 401(k) Retirement Plan

Position Summary

The part-time Grants Administration supports the operational and logistical functions of the Daniels Fund’s Grants Program. Responsibilities include intake of grant proposals, maintaining grantee records, extracting data and reports, preparing correspondence, and supporting the operational processing and workflow of grant proposals as they progress through the grant review, approval, and follow-up process. The position also supports logistics and execution of department projects, events, and other activities.

The Daniels Fund makes grants in nine funding areas: Aging, Alcohol & Substance Abuse, Amateur Sports, Disabilities, Early Childhood Education, K-12 Education Reform, Ethics & Integrity in Education, Homeless & Disadvantaged, and Youth Development.


Position Duties 

  • Processes incoming grant proposals, verifies whether complete information has been submitted and verifies applicant eligibility.
  • Creates and maintains complete, accurate and highly organized grants information system records.
  • Assists with the timely workflow of proposals through the grants processes.
  • Prepares and disseminates routine and customized grantee communications.
  • Supports the preparation of grant contracts and grant term amendments.
  • Assists team members with research as assigned.
  • Assists with preparation and compilation of materials for management and committees.
  • Assists with logistical components of department operations, events and special projects.
  • Works closely and pro-actively with all department associates and others throughout the organization.
  • Provides occasional back-up coverage for the front desk.
  • Performs other duties as assigned.


Position Qualifications 

  • High school diploma or equivalent.
  • 3 or more years of successful administrative-related work experience.
  • Demonstrated strong attention to detail.
  • Demonstrated strong organizational and administrative skills.
  • Demonstrated strong written and verbal communications skills.
  • Demonstrated ability to handle multiple priorities, achieve deadlines, and adjust to changing priorities.
  • Demonstrated ability to perform a supportive role in a team environment.
  • Demonstrated commitment to customer service, including a sense of urgency for issue resolution and follow-up.
  • Experience working in a professional business office environment is helpful.
  • Demonstrated ability to use computers and computer applications to accomplish position duties.
  • Ability to represent the organization and its work in a highly competent and professional manner both internally and externally.


Physical Working Conditions and Mental/Visual Demands  

  • Professional office environment.
  • Workload may be stressful due to deadlines and changing priorities.
  • Extensive keyboard and computer monitor use.
  • Exposure to sensitive and confidential information.
  • Physical demands may involve lifting materials and equipment up to 40 pounds.
  • Occasional driving required.
  • Occasional evening and weekend work required.
