Position Information 

Title:  Accounting Associate

Department:  Finance

Supervisor(s): Accounting and Finance Manager

Job Category: Professional

Salary Range: $52,000 - $65,000

Position Summary

The Accounting Associate performs certain accounting transactional activities in support of the overall financial functions of the organization.

This position is primarily responsible for processing disbursement transactions and the recording of such transactions in respective financial ledgers, as well as reconciling all ledger activity to supporting source documentation.

The Accounting Associate specifically performs payroll processing activities, including changes to employee benefit plan elections, is responsible for the maintenance of employee payroll and benefit records, as well as records of all other financially related transactions.

 

Position Duties 

Accounting and Finance:
  • Processes invoices and other disbursement requests through account payable systems.
  • Processes individual scholarship calculations and payments.
  • Assists in evaluating financial eligibility for scholarship applicants.
  • Reviews employee expense reports for compliance with accounting procedures.
  • Processes all ledger interface activity resulting in the transfer of financial information (i.e. expense reporting; processed payroll; scholarship payments; grant payments and investment activity).
  • Maintains disbursement records (electronic and/or paper) for the organization and individual payee.
  • Processes electronic storage of investment related documents.
  • Prepares monthly bank reconciliations.
  • Prepares monthly cash receipts/deposit reporting.
  • Prepares monthly journal entries for general ledger posting.
  • Prepares and reconciles quarterly general ledger trial balances.
  • Assists with quarterly budget variance reporting and analysis.
Payroll and Benefits Programs:
  • Processes bi-weekly payroll with outside service provider.
  • Maintains required payroll records (electronic and/or paper) for the organization and employees.
  • Performs administrative duties associated with group insurance programs (i.e. billing, renewal, employee communications and enrollments.
  • Maintains required benefit records (electronic and/or paper) for the organization and employees.
  • Summarizes relevant information and responds to compensation or benefit surveys.
  • Assists in the research of market based salary and benefit information.

 

Position Qualifications 

  • Bachelor's or Associate degree with major in accounting or business administration and 2 years experience with accounting responsibilities (accounts payable, payroll and general ledger) or 3-5 years of successful work experience in the same.
  • Aptitude for mathematical and financial data.
  • Working knowledge of administrative requirements for group benefit programs (health, dental and life insurance plans, flex or cafeteria plans, 401(k) retirement plans, and wellness programs).
  • Demonstrated strong written and verbal communication skills.
  • Demonstrated ability to achieve deadlines and manage changing priorities.
  • Demonstrated excellent organizational, analytical, and project management skills.
  • Demonstrated attention to detail balanced with a strategic perspective.
  • Demonstrated ability to use computers and computer applications to accomplish position duties.
  • Ability to represent the organization and its work in a highly competent and professional manner both internally and externally.

 

Physical Working Conditions and Mental/Visual Demands  

  • Professional office environment.
  • Workloads may be stressful due to deadlines and changing priorities.
  • Exposure to highly sensitive and confidential information.
  • Extensive keyboard and computer monitor use.
  • Physical demands may involve lifting materials and equipment up to 25 pounds.
  • Driving required.
  • Occasional evening and weekend work required.
